Job Purpose: The Receptionist serves as the first point of contact for World Sports Betting Head Office, providing a warm and professional welcome to all visitors and callers. This role is essential in ensuring smooth daily operations by managing the front desk, handling administrative tasks, and supporting various departments with ad-hoc operational duties. The Receptionist plays a key role in maintaining a positive company image and delivering exceptional customer service.
Key Responsibilities:
- Front Desk Management:
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls to the correct department/person.
- Maintain the reception area, ensuring it is tidy and presentable.
Administrative Support:
- Receive, sort, and distribute daily mail and deliveries.
- Manage calendars and schedule meetings where necessary.
- Manage boardroom bookings and refreshments.
- Ordering of stationary.
- Courier of documents and equipment.
- Manage employee welcome packs
- Assist with arranging prizes for recognition programmes (employee/department of the month)
- Assist with administrative tasks such as data entry, filing, and document management.
- Customer Service:
- Provide basic and accurate information in-person and via phone/email.
- Handle customer inquiries and complaints with a positive attitude, passing them on to the correct department manager.
Operational Support:
- Assist the operations team with ad-hoc tasks as needed.
- Coordinate with various departments to ensure smooth operations.
- Help with event planning and execution.
Qualifications:
- Proven work experience as a receptionist, front office representative, or similar role.
- Proficiency in Microsoft Office Suite.
- Hands-on experience with office equipment (e.g., printers, etc.).
- Professional attitude and appearance.
- Strong written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Customer service attitude.
