The Warehouse Clerk is responsible for optimal inventory management throughout the hospital by actively participating in maintaining, moving, and maintaining inventory levels and accuracy. This individual applies inventory understanding and attention to detail to identify potential discrepancies, balance inventory levels against the system, and effectively resolve discrepancies. Warehouse clerks are also responsible for maintaining good working relationships, meeting work demands, and ensuring overall cleanliness and order for employees.
Employees work in different areas of the hospital and are required to efficiently multi-task during peak hours. Rather than being assigned to just one area of the business, this individual will provide essential support to different areas of the hospital, in line with Netcare's human-centered health and care strategy. The support provided will vary depending on hospital requirements, and individuals may be required to meet ever-changing work demands based on business needs and accommodate changes in work schedules to improve business productivity. Warehouse management service
Coordinate physical inventory with SAP system.
Replenish supplies throughout the hospital on days determined by management. Generates material requirements planning (MRP) for all storage locations according to the replenishment list.
Issue, pick, and pack replenishment inventory for storage locations or cost centers.
Deliver and unpack inventory in assigned storage locations.
Capturing of stock and consumable transfers between storage locations or cost centre
Monitor and identify any expired and damaged stock in the wards. Identify excess or slow-moving inventory in existing warehouses and return inventory to pharmacies as needed.
Check days' supply in warehouse reports (SLOC) and adjust inventory quantities based on material requirements planning (MRP) levels. Review the error log report and ensure that all error logs are cleared.
Liaise with nursing staff on the wards to ensure all accounts are up to date before updating requested supplies. Identifies and reports product shortages to department manager.
Manage out-of-stock and pending orders. Make sure all parties receive all out-of-stock notifications.
Make manual payment slips available during Mobile and Mobit downtime.
Ensure neat packing of stock onto shelves and consider the principles of FEFO (First Expiry First Out) and FIFO (First in First Out) where applicable to maintain stock rotation
Prepare and sequence all stock books for assigned units.
Investigate and report inventory discrepancies, theft and losses to the Unit Manager and Pharmacy Manager. Assist with packing materials in preparation for theater events.
GRV delay monitoring
Investigate open and pending purchase orders
Order hospital store supplies from the Priority Purchasing System as needed.
Price verification in procurement system
Receiving and inspecting the product by the designated person upon delivery
Unpacking supplies at the hospital store
Ensures invoices or delivery notes are reviewed, signed, and delivered to the appropriate department for proper receipt.
Keep hospital warehouses safe at all times by ensuring that unauthorized personnel are not allowed access.
Stay up to date with the evolving changes in SAP and OrderCo.

Participates in all aspects of cycle inventory and rotation processes in all storage locations, including hospital stores, according to schedules established by management. This includes, but is not limited to:
• Creating and updating inventory books.
• Work on reports on ungrouped items.
• Prepare inventory according to relevant inventory checklists.
Risk and compliance management
Follows pharmacy standard operating procedures to ensure compliance, enhanced controls, and robust processes. Ensures full compliance with laws, policies, procedures, best practices, professional standards and Netcare strategy.
Helps communicate inventory policies within your company.
Administration
Assist with any ad hoc duties assigned by the Stock Coordinator or Stock Controller and assist Nursing employees and Unit Managers with stock queries.
General office administration to ensure job efficiency including but not limited to filing, printing, faxing and other general administration queries. Handle all day-to-day administrative and operational requests that may not be included in this role profile and resolve them effectively and efficiently within the required timeframe.
Maintain cold chain of refrigerated inventory. Assist with housekeeping in pharmacy and/or hospital stores to maintain a professional atmosphere.

EDUCATION
Essential
Grade 12 or equivalent NQF 4 certificate
Basic stores and stock control certificate (BSSC). Work history

Those with experience in inventory management.
6 months to 1 year of experience in a similar position
Knowledge and experience with pharmaceutical inventory management systems.
KNOWLEDGE
Preferred
An intermediate level of Computer Literacy and proficiency in MS Office applications.
Superior interpersonal skills (developing and maintaining positive relationships; communicating clearly and effectively with people at all levels with verbal and nonverbal communication; working with others to identify, define and solve problems).
